Section

  1. The purpose of this Technical Note is to update Members in relation to the contracts for the refurbishment of the Brookwood Villa.  It also sets out details of the information which can be shared publicly.   
     
  2. At the meeting of Council on 23rd September, officers confirmed the signing of the contracts for the refurbishment of Brookwood Villa.  Officers also advised that one key document (a performance bond) remained outstanding.  The performance bond has now been completed, signed and delivered to the Council. 
     
  3. In light of the above, the Council is now in possession of all of the necessary signed documentation for the refurbishment works.  These works will commence this month and are currently scheduled for completion during June 2023.
     
  4. As is common with contracts of this nature, the Council is preparing to issue a joint release with its development partner HubWest.  The attachment sets out the information that it is reasonable to share publicly at this time.  Any Member wishing to comment publicly should restrict this to the content of the attachment.
     
  5. The joint release will also appear on both the Council’s and Hub’s social media accounts.  The release will be issued later today and so Members are asked not to share or comment publicly until then.
     
  6. In addition to the refurbishment contracts, Members will recall that a marketing exercise was carried out in order to identify a suitable occupant for the refurbished Brookwood Villa.  At its meeting on 11th August, the Place Neighbourhood & Corporate Assets Committee instructed officers to conclude a lease with the Brookwood Community Trust. 
     
  7. Officers will commence negotiations on the lease documentation but this will not be finalised until nearer completion of the refurbishment work.  The release contains some details of the proposed lease arrangements and sets out what can be said publicly.
