    This Technical Note will be published on the Council’s website following circulation to Member. Its contents may be disclosed or shared outwith the Council.

Section

  1.         The purpose of this Technical Note is to update Members on issues relating to the Council Diary and approved Cycle of Meetings

2.         Over the next few days, Members will start to receive invitations to various Committees and Boards etc covering the period up to the end of June.  These invitations will reflect the various appointments made at last night’s Statutory Meeting.  These meetings will comprise a Webex invitation as these meetings will be virtual and will be broadcast live on YouTube to ensure public access.

3.         Officers will also be in touch with the various Conveners and Vice Conveners to discuss dates and times for pre-agenda meetings, both over the coming weeks and for the next meeting cycle.

4.         In terms of the Council’s Standing Orders, Agendas require to be issued 6 clear days in advance of a meeting.  At this point for each Committee meeting,  all Members will receive an electronic copy of Agendas and those appointed to each Committee will also receive a hard copy.  If you wish to attend a meeting to which you have not been appointed, please contact Lesley McKenzie or Martin Cunningham who will put the appropriate arrangements in place for you.  

5.         During last night’s Statutory Meeting, the Council also approved a Cycle of Meetings for the period from August 2022 to June 2023, with the provisio that there be further discussion regarding start times for some meetings.  Officers will engage with Members over the coming weeks regarding start times.  Meantime, it is proposed to issue invites based on the current dates and times, so that the various meetings are in Members diaries.  Given that start times are likely to be later than those currently listed, this should assist Members to manage these meetings against other commitments including work.
