As part of the ongoing smarter working project there are Frequent Questions surrounding common issues users face whilst working under the new setup and as such we have compiled some answer to those questions below.

NOTE: ICT strongly advises that no data should be stored on the local drives or desktop of a PC or laptop as this is not secure, is not backed up and could be lost. This is really important because to do so contravenes the Council’s Acceptable Use Policy of ICT equipment. So if you do have anything on the local drives or desktop of a PC or laptop – you should move it now!

In the unlikely event you cannot find a free flexible workspace, you can connect to the corporate network by Wi-Fi at touchdown spaces, informal meeting areas and when at Broomhill, the Bistro. Corporate network Wi-Fi is called ‘CSTAFF’ in the list of available Wi-Fi signals.

It is particularly important to ensure the safety and security of our ICT equipment. You must clear your desk of all ICT equipment issued to you (laptop, keyboard, mouse and all accessories) to comply with the clear desk policy when you leave a workspace.

This will have been covered in your training session. As a reminder, press the globe button then ‘4’, enter your seven digit extension number in ‘User ID’ i.e. 601XXXX where (XXXX is your 4 digit extention). Next press the down arrow key and enter your pin and press submit. The default PIN is 12345. The first time you log in you will be forced to change

As a reminder, press the ‘globe’ button then 4, then ‘yes’. If you wish to log in at another phone, logging in on another phone will log you out elsewhere.

All smart workers will have been issued with voicemail. If you are logged out your calls will divert to voicemail. If someone leaves you a voicemail you will also get an e-mail to tell you. When logged in to a phone, press the ‘msgs’ soft key to dial your voicemail. From a mobile or other external number your voice mail can be retrieved from any phone by dialling 0141 777 3111.  As soon as the greeting starts press ’*’ then enter your full extension number e.g.601xxxx, and enter your PIN.  The default voicemail PIN is 665544. We recommend that you change this PIN in menu option ‘3’ then 1 (available at the beginning of a voicemail call).

If you are unsure please contact the ICT Service Desk. For most smart workers this is your existing extension number preceded by 601. For example if your extension number is 8111 your seven digit number is 6018111.

As with any equipment issued by the Council to its employees, you should take reasonable steps to safeguard your laptop and any accessories when in the office and particularly, when you are away from the office.

Lost or stolen laptops should be reported immediately to your line manager and the ICT Service Desk. Damaged or malfunctioning equipment should be reported to the ICT Service Desk in the normal manner.
